Overview

This project focused on transforming a manual order-processing workflow at a mid-sized online retailer into a fully automated, AI-powered system. The existing process relied heavily on staff manually reviewing customer emails, extracting order details, updating spreadsheets, and sending confirmation messages — all of which introduced delays and errors.

Solution

Using ChatGPT for intelligent data extraction and Zapier for no-code automation, I designed a workflow that automatically:

• Detects new order emails in Gmail

• Extracts structured data such as customer name, product, quantity, and address

• Logs orders in Google Sheets for tracking and validation

• Drafts and sends professional confirmation emails back to customers

Outcome

The automation eliminated repetitive data-entry tasks, improved accuracy, and created a seamless end-to-end process with audit-ready documentation. The project showcased how structured prompt engineering and workflow design can drive operational efficiency through reliable, scalable automation.
